Suffolk County Music Service's audio/visual policy.

At some of the Suffolk Youth Music activities, Suffolk County Music Service (SCMS) takes photographs and video recordings of the young musicians who are participating in the activities. We may use these images in our service prospectus or in other printed publications that we produce, as well as on our website, social media, or on project display boards, including those located at concerts and events. Images are occasionally sent to the media for press releases and further publicity. 

Similarly, we may also make video recordings for Suffolk County Music Service publicity, our archive, or other educational use. Suffolk County Council may also use our photographs of pupils to illustrate its work in Suffolk in council publications, publicity materials, and on its website.

From time to time, Suffolk County Music Service may be visited by the media who will take photographs, film footage or carry out radio or television interviews. Members will often feature in these images, which may appear in local or national newspapers, online or in print, or on televised news programmes.

Photos for the media and other publicity purposes may also be taken at events not organised by us, but where our young musicians are taking part, for example at public concerts.

Please note that websites can be viewed throughout the world and not just in the United Kingdom where UK law applies. Please also note the conditions for use of images are listed below.

Conditions of use

  • Photographs and recordings may continue to be used after your son/daughter ceases to be a member or the activity ends.
  • If we use photographs of individual members or small groups of members, we will avoid using the full name (which means first name and surname) of that member, unless we have obtained your formal approval.
  • We will not include personal email or postal addresses, or telephone or fax numbers on video, on our website, on social media, in our service prospectus or in other printed publications.
  • We may use group or ensemble photographs or footage with very general labels, such as “an Area String Ensemble” or “North Suffolk Youth Concert Band”.
  • We will only use images of members who are suitably dressed, to reduce the risk of such images being used inappropriately

Retention period

We will retain photographs and video recordings for three years. On some occasions there may be a business need to retain photographs and video recordings for a longer period, for example from Royal visits or one-off collaborative events.

How to withdraw consent

Consent is given for membership 2018-19. You can however advise us at any point throughout the membership if you wish to withdraw consent. You can do this this by sending an email to
